Opening a hotel, resort, villa development or serviced-apartment property in Zanzibar requires coordination between construction, licensing, staffing, operations, branding and procurement.

Step 1: Build Procurement into the Opening Schedule

The correct starting point is the planned opening date, followed by a backwards schedule covering specification approval, quotation, payment, sample approval, production, inspection, packing, shipping, customs clearance, delivery and installation or room placement.

Do not calculate a hotel fit-out using room count alone. Prepare a room schedule showing each room category, bed configuration, mattress size, number of pillows, linen size and bathroom allocation.

Mattresses and protectors

• Confirm one mattress for each bed position shown on the approved room schedule
• Measure the actual bed base or approved furniture drawing before production
• Confirm whether twin beds may be joined and whether a linking solution is required
• Provide one correctly sized mattress protector for every mattress
• Add spare units only according to the property’s maintenance and contingency policy

Bed-linen par levels

A three-par programme is a common planning starting point:

• One set in use
• One set in the laundry cycle
• One set clean and ready for room preparation or replacement

Some properties require a fourth par where laundry turnaround is slower, occupancy is high or replacement stock is difficult to obtain quickly. The final quantity should be calculated using the actual laundry operation.

Bath linen, bathrobes and pool towels

Before dispatch, confirm:

• Dry, secure and ventilated storage space
• Inventory-checking and discrepancy-reporting procedures

Roll-packing may reduce mattress shipping volume for suitable models, but the saving depends on product construction, packing dimensions, container utilisation and order mix. Do not publish or budget a fixed percentage without the actual shipment calculation.

Compressed mattresses must be stored and unpacked according to the manufacturer’s instructions. Do not assume that every model can remain compressed for several months without affecting performance or warranty.
